By confirming a booking you agree to these Terms & Conditions in full. Please read them carefully before booking.
1. Booking & Payment
A booking deposit of $2,000 is required to secure your reservation. Your booking is not confirmed until this deposit has been received.
The balance is due 30 days prior to arrival and will be detailed in your booking confirmation.
A cleaning fee of $480 applies to all bookings and will be included in your invoice.
2. Cancellation & Date Changes
- Cancellations or date changes made 30 or more days before arrival will incur a fee not less than your booking deposit, with the balance of any additional payment being refunded in full.
- Cancellations made less than 30 days before arrival will incur a fee equivalent to the total booking fee for your booked dates, less the cleaning fee which is not payable on cancellations.
You may consider taking out travel insurance to cover unforeseen cancellations.
3. Check-In & Check-Out
- Check-in: From 2:00 PM
- Check-out: By 10:00 AM
Early arrivals and late departures must be arranged in advance and are subject to availability. Unauthorised late check-outs may incur an additional night’s charge.
4. Maximum Occupancy
The Lodge accommodates a maximum of 19 guests. Exceeding this number without prior written approval is a breach of these terms and may result in immediate termination of the stay without refund.
5. No Parties or Events Policy
Parties, events, functions, and gatherings are strictly prohibited. Eagle Rock Farm is a working farm in a quiet rural setting with neighbouring properties nearby. There is a farm manager living onsite.
This is one of our most important house rules and is strictly enforced. If an unauthorised gathering is identified:
- Guests will be asked to vacate the property immediately
- No refund will be issued
- Additional charges for any damage, cleaning, or disturbance costs will apply
This applies regardless of group size. The Lodge is available for private family stays and small group getaways up to 19 people – not events involving additional people.
6. Dogs & Pets Policy
Dogs are not permitted as standard. Eagle Rock Farm is an active working farm with livestock, pedigree beagles, and strict biosecurity requirements. Neighbouring properties are also working farms with the same considerations.
If you would like to bring a dog, you must contact us before booking to request approval. Approval is at the sole discretion of the property manager and is not guaranteed.
If approved:
- A daily dog fee applies (amount confirmed at time of approval)
- This fee covers the additional cleaning and sanitation required
- Strict conditions will apply regarding the dog’s management on the property
- Dogs must be kept under control and away from all farm animals and restricted areas at all times
Unapproved dogs or other pets arriving on the property will result in immediate termination of the booking without refund.
7. Noise & Consideration for Neighbours
Eagle Rock Farm is set in a peaceful rural environment. Guests must keep noise to a considerate level at all times.
Quiet hours apply between 10:00 PM and 7:00 AM.
Neighbouring properties must not be entered under any circumstances. Failure to comply with noise requirements may result in eviction without refund.
8. Working Farm – Guest Responsibilities
Eagle Rock Farm is an active working farm with a farm manager on site. By booking, guests acknowledge and agree:
- Farm operations, machinery, and livestock are present on the property
- Only the fenced Lodge area is designated for guest use unless otherwise arranged with the property manager
- Sheds, paddocks, and restricted farm areas must not be entered
- Gates must be left exactly as found – this is critical for the safety of farm animals
- Children must be supervised by an adult at all times
- Guests enter all areas of the property at their own risk
9. Property Condition & Departure
We ask that guests treat the property with care and leave it in a clean and tidy condition. Departure requirements include:
- Dishes washed and kitchen cleaned
- Rubbish removed or placed in designated bins
- Furniture returned to original positions
- All lights and appliances turned off
Full departure instructions are provided in the Guest Welcome Guide. Failure to leave the property in an acceptable condition may result in additional cleaning charges.
10. Damage & Additional Charges
Guests are responsible for any damage, breakage, or loss caused during their stay. Costs for repair or replacement will be charged to the guest. Any damage or incidents must be reported to the property manager promptly.
We reserve the right to charge a security bond for certain bookings. If applicable, this will be communicated at the time of booking confirmation.
11. Rural Living & Utilities
Eagle Rock Farm operates on rainwater tanks and a septic system. Water is a scarce resource on the farm and rainwater is the only water supply. Guests are asked to use water and facilities responsibly as water availability is limited. Details are in the Guest Welcome Guide attached.
Please be aware:
- Mobile phone reception may be limited
- Power outages can occasionally occur in rural areas
- These are normal conditions of rural property stays and do not constitute grounds for refund
- IMPORTANT – Only toilet paper is to be flushed down the toilet. The septic system is sensitive, and flushing any other items may cause blockages. Any damage or required rectification may result in additional charges to the guest.
12. Fire Safety & Bushfire Risk
The property is located in a bushfire-prone area. All guests must comply with fire safety instructions provided in the Guest Welcome Guide and any emergency directions issued by NSW Rural Fire Service or emergency services.
Open fires outside designated fire pits are strictly prohibited. During Total Fire Ban days, all outdoor fires including barbecues using solid fuel are not permitted.
Do not use the open fireplace under any circumstance.
13. Safety & Risk Acknowledgement
Guests stay at their own risk. Eagle Rock Farm and Eagle Rock Rural Enterprises Pty Ltd accept no liability for personal injury, loss, or damage to guest property arising from a stay, except where required by law.
14. Right to Refuse or Terminate a Booking
Eagle Rock Farm reserves the right to refuse or cancel any booking, and to terminate a stay immediately if these Terms & Conditions are breached, safety is at risk, or property rules are not followed. No refund will be issued in such cases.
15. Acceptance of Terms
By confirming a booking, guests confirm they have read, understood, and agreed to these Terms & Conditions, the Guest Welcome Guide, and accept full responsibility for all members of their party.
